Protea has a three-tiered hierachy approach which is designed for ease of use. Each level has a distinct role for using the system.
‘The Constructor‘: This is the first tier and is the person responsible for designing, building and maintaining your Protea forms and dashboards. They also manage the supplied workflows that control the automation of each process.
Once the initial build is complete, the Constructor hands over the Protea system to the ‘Landlord’, which is the second tier.
The Landlord: These senior staff members are given access to an ‘Administrator Dashboard’ which offers the same details as that of their clients, but also includes enhanced features needed to manage the use of the system.
‘The Tenants‘: This third tier is for your clients and staff whose personal data is displayed. Each Tenant registers to have access to their own, secure dashboard which displays their details and intelligent forms.
Blocks of tasks are purchased for the day-to-day administration processes and are delivered automatically through Protea. The tasks may be called and used by all staff and clients. A task is expended for each completed process.

The role of your Constructor is to use Protea’s dashboard and form builders, together with the supplied templates, to build your automated system. This is the top tier designed for the creative overseers of your administration. tailored to your needs.
The form and dashboard building tools are intuitive and are designed for users of all technical skill levels, ensuring you can create and modify dashboards and forms without needing extensive technical expertise. Protea comes with tutorial videos to show Constructors how to use the builder tools. Klarica support staff are also on hand if you need help.
Our tools’ user-friendly drag-and-drop interfaces allow your Constructor to effortlessly integrate various features, tables, data, text and forms into your custom dashboards, along with the required fields for your forms. To make this process easy, we deliver a comprehensive library of templates, or you may prefer to create your own design from a blank canvas.
As an alternative, we understand that you may prefer to outsource this ‘Constructor’ role to use our professional assistance. Our dedicated support staff are always on hand to help bring your dashboard and forms vision to life, at competitive rates.
Once your dashboards and forms have been built by your Constructor, your ‘Landlord’ will then be responsible for the day-to-day use of these dashboards through their own ‘Administrator’ dashboard.
Your Landlords will most likely be the existing supervisors selected from your admin team.
The Administrator dashboard features typically include email lists of authorisers and compliance staff, the MS-Word documents library, details of any documents to be uploaded, initial security registrations, the management report output along with the roles of each user of the system.
A Landlord also has access to their individual Tenant’s (member’s) forms and information, allowing them to make changes and submit forms and tasks on their behalf, or upon the Tenant’s request.

The Tenants are your clients and end-users who access and manage their own details through a secure client dashboard. This way your clients are enpowered to be responsible for maintaining their own data and overseeing their account details.
Not only do your clients have a secure place to update and view their information but they also have access to other useful features. For example, they can download or upload documents, obtain an immediate quotation of benefits, view and print statements, or seek assistance through live-chat or helpdesk portals.
Any tasks submitted through the Tenant dashboard are of course all automated and authorised (where required). The changes are immediately reflected in your database(s).
Confirmation of any form submissions and other requests can be sent via email to the tenant (for electronic or wet signature, where required), all without the intervention of your administration staff.
The Tenant pays no fees for their dashboards. Instead, Klarica charges for each submitted and completed task. This way you only pay for your use of Protea.
